Important Information for a Great Conference Experience

Thank you for registering to attend the 2022 CMEA Clinic/Conference. The CMEA Board, State Assembly, and staff are anxious to welcome you this year’s conference. This letter serves as another registration confirmation and contains important information regarding the conference. Please review the information carefully as it contains important information regarding the conference and any additional fees you may owe.

 

HEALTH AND SAFETY INFORMATION DURING COVID - updated January 17, 2022

In this ever-changing time of COVID the CMEA Executive Committee as made adjustments to protocols for the upcoming conference, January 26th – January 29th.  With the current variant, some communities in Colorado experiencing an outbreak of the flu, and outreach from conference participants you will see changes to some health and safety protocols as we move toward the CMEA Conference.  All new protocols are highlighted in blue text.  We ask that everyone approach these health challenges and the upcoming Conference with “Patience, Grace, & Understanding."  The most important reality is that we have an opportunity to gather safely. If we are all cautious and follow the protocols below, we will be able to gather safely. Read the updated Health & Safety Protocols here


CMEA Attendee Liability Waiver 

All registrants and conference participants, including exhibitors, student performers, and audience members, will be required to read and agree to the 2022 CMEA Attendee Liability Waiver. Participants for the 2022 conference will not be admitted to the conference without a signed waiver form, either through the goggle waiver link or through a signed form. Conference participants and exhibitors will be asked to use this link to complete and submit the waiver in a google form. All student performers,  Tri-M Students, spectators, and chaperones will be asked to submit a hard copy of the  CMEA Attendee Liability Waiver through your director.  The director will then exchange this waiver for a performance ticket, a wrist band, or a name badge depending upon you level of participation in the conference. 

The Broadmoor Hotel, the official hotel of the CMEA Conference, will follow local requirements concerning mask mandates. Currently, hotel staff has the option not to wear a mask if they are fully vaccinated. However, CMEA has requested that all Broadmoor Staff located in conference designated areas be masked at all times. CMEA attendees are likely to encounter hotel staff and other hotel guests that are not part of the CMEA Conference who are un-masked.

Registration Materials

Your name badge and lanyard will be available at the Completed Registration desk located at Broadmoor Hall A registration desk. Broadmoor Hall  is located just north of the International Center.  If you misplace your name badge, there will be a $10.00 fee to create an additional name badge.  

 

CMEA Registration and Registration Hours:

Registration will be much different this year than in years past. There are no more paper forms, and the full schedule is on the CMEA Conference Website on Emamo.com.  If you are receiving this confirmation you will report to the Completed Registration Desk and pick-up your badge and lanyard.

You should have received an email from [email protected]  If you have not received this email, check your spam or junk mail files.  You will need to set-up and activate your account.  If you have any issues reach out to this email [email protected] and a member of the Creative Generation staff will assist you.  There will also be a table available at registration for assistance with the Emamo website.  Look for the Emamo/Conference Schedule Questions sign.  Make sure that you sign-up to connect with other attendees so you can communicate and chat.  You will also find an important tool for each session.  If the presenter has submitted their presentation slide deck and supporting materials, you will find these downloadable documents on the page for each presentation.

 

Paying for Expired Membership

All fees for the conference registration should have been paid in full at registration.  If there was any issue with a fee being owed or membership needing to be renewed, you will receive this information in a separate email.  If you registered as an active member your membership must be renewed per CMEA policy if your membership expires prior to June 30, 2022.  If your membership is not paid through this time period you will need to remit the appropriate membership amount due when you arrive at the conference or better yet, renew membership directly with NAfME.  You may update your registration at the On the Spot counter in the Broadmoor Hall Main Lobby for an additional $20.00 processing fee or you may update your membership on-line at NAfME.org.  If you update through NAfME your membership renews immediately.  If you renew through CMEA your membership will renew at the end of April 2022. You also have the choice of registering as a non-member.  The difference in fees for non-member registration is $135.00.  Your membership with NAfME will notbe renewed for the following year if you choose this option. If you do pay directly through NAfME, bring a printed copy of the official receipt from NAFME to registration that CMEA may retain as proof of payment.

Need to purchase a Guest Pass/Attendance Certificate/ Renew your Membership/Resolve a Registration Issue

All of these items can be accomplished if you go to the CMEA website and complete your information and payment using the On the Spot registration module that opens on Wednesday, January 20th.  If you are paying by credit card or purchasing card for an attendance certificate there is no need to come to the registration desk, your file will be updated automatically.  

 

Attendance Certificates

If you ordered a CMEA Attendance Certificate for renewal of your teaching license or for credits, these certificates will be emailed to the email address you entered on your registration form on February 15, 2022.

 

Convention Attire

Dress throughout the Conference is business casual for all attendees.  However, some hotel restaurants require more formal evening attire after 5:00 pm.


Parking at the Broadmoor Hotel

Parking will be in the parking garage adjacent to Broadmoor Hall. Parking around the Broadmoor Hotel complex should only occur in hotel owned parking lots and not residential streets.  The cost for parking in the Broadmoor Hall Parking Garage, off Lake Avenue is $12.00 per day maximum.  Overnight valet is $32.00 per night and self-parking is $25.00.  It is important to let families who are attending your performance know that parking in the adjacent hotel neighborhood is not allowed and vehicles can be ticketed or towed.

 

Dining at the Broadmoor Hotel

Local, non-registered guests may dine at hotel restaurants, but reservations will be subject to availability and may be limited on select dates (the hotel accommodates hotel guests first).  Please note that The Grille restaurant is reserved for Hotel Guests and Golf Club Members only.

Exhibits and Opening Reception

CMEA will utilize the new Bartolin Hall Exhibit Hall this year.  The new Bartolin Hall is locate just South of Broadmoor Hall, past the parking garage and the Carriage House Museum. 

CMEA offers an opening reception in Broadmoor Hall B on Thursday evening at 5:00 pm for registered conference attendees.   This is a great time to visit the exhibits, network, and see old friends.  The first 200 attendees get a free drink, compliments of CMEA when you complete an exhibitor passport and turn these into Exhibit Manager, Rick Shaw in the Exhibit Hall.

Th reception will be held on the west side and north side of the exhibit hall.  Drinks and food will be served in this area and must be consumed in this area.  Before visiting the exhibits, you must finish your beverage and food and be fully masked to protect the health of our exhibit workers.


Wednesday Evening Sessions

If you are attending the Wednesday evening sessions, you will need to report to the registration tables in Broadmoor Hall prior to attending the event.  You will need your badge to enter any events on Wednesday evening.


Cancellations and Refunds

When registering for the conference the CMEA Board Policy on refunds for conference registrations was displayed.  Unfortunately, at this time there is no refund for the cancellation of conference registration. When CMEA made the commitment in June 2021 to move forward with planning an in-person conference we had to sign contracts with vendors for the conference.  CMEA is liable for all payments on these contracts unless there is a Federal, State or County Health order that restricts large group gatherings.  At this time no orders of this nature are in effect.

CMEA members are reminded that they must change address, phone, e-mail, and school information directly with NAfME.  If your information has changed during the past year, you may change this information by contacting NAfME at (800) 828-0229 or changing your information on the NAfME web site by creating a log-in to your membership account.
